Skydance is looking for an administrative assistant to join the Television Business & Legal Affairs team. The Assistant will primarily support to the EVP including managing calendars, answering phones, document preparation, facilitating the execution of legal agreements, and file tracking and maintenance, as well as providing general support to other members of the team. The ideal candidate has experience providing administrative support in the entertainment industry or at a law firm, stellar organization skills, strong attention to detail, and an ability to perform in a fast-paced, but collegial environment.

Responsibilities

  • Provide administrative support to executives including heavy calendar management
  • Screen and respond to calls and email correspondence
  • Maintain and organize shared drives and electronic filing systems 
  • Handle regular distribution and facilitate execution of agreements and documentation to Executives
  • Draft cover letters, fill out forms and prepare charts
  • Create and update project management lists
  • Prepare and process outside counsel bills, vendor bills, etc.
  • Compile documentation and submit monthly expense reports, as needed
  • Ad hoc projects and duties as required, such a filing, copying, expenses, preparing agendas/resolutions for meetings
  • Requirements

  • Bachelors’ degree or equivalent work experience
  • 1-2 years’ administrative experience, within Legal and/or Entertainment industries a plus
  • Highly proficient with MS Software (Word, Excel, Outlook), DocuSign a plus
  • Experience formatting, redacting, comparing, and editing PDFs utilizing Adobe Acrobat
  • Effective and efficient written, verbal, interpersonal communication skills; ability to interface with staff, other administrators, senior management, external contacts
  • Proven ability to manage and disseminate a high volume of information and material flowing through the department punctually, properly, and confidentially; high level of integrity and discretion is a must
  • Self-motivated and proactive; ability to handle multiple tasks simultaneously, prioritize workload efficiently, and meet strict deadlines for completing tasks
  • Excellent organizational skills with superior follow-through and follow-up
  • The hourly rate range for this non-exempt position in Los Angeles is $21.00 – $23.00.  The rate offered may vary based on the candidate’s location, qualifications, experience and relevant expertise, among other factors.  The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.
